Please note: A 'Supplier' or 'Travel Supplier' refers to the business, agency, carrier, or person providing the travel product or service. This includes but is not limited to Travel Suppliers, Distributers, Tour Operators, Tour Suppliers, Travel Services, Destination Management Services, Property Owners Property Management Companies, Travel Insurance Companies, Event Planners, Jet/Yacht /Helicopter Charter Companies, Private Chefs/Butlers/Housekeepers, Wedding Coordinators, Hoteliers, Airlines, Flight Crews, Aviation Companies, Aviation Charters, Talent Agencies, Employment Agencies, Entertainment Agencies, Entertainers, Cruise Lines, Rail Companies, Transportation Services, Drivers, Guides, Brokers, Agencies, People, Venues, or other vendors of products or service related to your vacation or the servicing of your vacation or you as a client.
TRAVEL INSURANCE
Traveling without Travel Insurance is irresponsible. We encourage all travelers to take out an adequate, comprehensive travel insurance policy. If you should unexpectedly have to cancel your trip, this could cause you to lose most, or all, of your investment depending on the penalty guidelines. Or, you could experience unanticipated problems while traveling including: medical emergencies, travel delays, and lost/stolen or damaged baggage.
Since you are aware of the financial and potential health risks, Lux Inclusive Travel, the Agent, and Travel Suppliers will be held harmless for any losses or damages if you choose not to protect your investment and yourself. Talk to your Travel Advisor about travel insurance options based on your primary concerns and individual circumstances.
SERVICE FEES
When a fee is going to be assessed for research, planning, itineraries, itinerary modifications, recommendations, booking, or an hourly rate, you will be notified in writing of the terms associated with that fee prior to any charge and prior to your Travel Advisor starting any work. In most cases, if a fee is being assessed, the full amount of that fee will be applied to your final payment after you book your travel with Lux Inclusive Travel. All fees are fully non-refundable and non-transferrable.
ESTIMATES/PROPOSALS
Pricing, promotions, and availability can fluctuate within the same day and are subject to change without notice. As a result, quotes are not guaranteed until confirmed, booked, and payment is received by the vendor. Unless otherwise stated, all prices are per person, based on double occupancy, for specific room categories and subject to availability at time of booking on selected departure dates. Airfare, transfers, port charges, hotel/resort fees, taxes, government fees, and gratuities are additional unless otherwise specified. Rates are subject to change. Offers are capacity controlled and may be withdrawn at any time without notice. Lux Inclusive Travel and Your Travel Advisor try to inform you of all additional costs we are made aware of by Travel Suppliers. Lux Inclusive Travel and your Travel Advisor are not responsible for errors of omission or information that may occur as a result of the transfer of information from selected third parties, technical or human error.
DEPOSITS
For your security, Lux Inclusive Travel and your Travel Advisor do not accept deposits by check or cash payments. All payments should be made by credit card, or wire transfer (when available). For your protection, your deposit payments are submitted directly to the travel suppliers (tour operators, Travel Insurance companies, hotels, airlines, cruise lines, or other vendors.
Because of frequent price fluctuation, space selling out, and the volatility of exchange rates for many of the destinations Lux Inclusive Travel offers, we recommend you confirm all pricing at the time of booking. It can change between the time your proposal/estimate was written and the time deposits are submitted to the vendors.
For bookings not requiring payment in full at the time of booking, a guaranteed deposit is required at time of booking. The deposit amount will vary based on the products and Travel Supplier but will generally be provided with your proposal unless we are still comparing values with other suppliers. If the deposit amount is not provided with your proposal, it will be provided at the time of booking. If you purchase flights or insurance as part of your vacation package, the cost of each will generally be added to the deposit amount. It is recommended that we receive confirmation on the land or sea portions of your travel prior to having airline tickets confirmed.
Be sure to confirm if your deposit will be refundable or non-refundable. If you don’t see this information, simply ask your agent. Once your initial payment is received, full booking terms and conditions apply for Lux Inclusive Travel and each Travel Supplier used to book your vacation.
FINAL PAYMENT
For bookings that don’t require payment in full at the time of booking, guaranteed payment is required by the final payment due date printed on your itinerary. The due dates will vary based on the products and Travel Suppliers but will generally be provided with your proposal unless we are still comparing values with other suppliers. If the due date is not provided with your proposal, it will be provided at the time of booking.
Unless instructed otherwise, final Payment will be charged to your credit card on file at the time final payment is due. If payment is declined and you haven’t provided with another method of payment, your reservations will cancel and you will be subject to any applicable cancellation penalties and fees.
HOW TO CANCEL YOUR RESERVATION
Unexpected things happen and life can get in the way of your plans sometimes. It is always disappointing when you need to cancel a wonderful vacation, but we will explain your options and try to make the process as easy as possible. Notify your Travel Advisor in writing AND call as soon as you become aware that you will need to cancel. Delays in notifying can not only increase your penalties and fees, but if you have travel insurance, there is a very small window of time to notify before you have voided your cancellation coverage. Whenever humanly possible, you will want to cancel before the final payment due date to minimize the penalties and fees. Be sure to pay attention to all cancellation policies including those of Lux Inclusive Travel. It is very important that you purchase travel insurance with trip cancellation coverage so you can be reimbursed for your loss if the reason for cancellation was covered.
CHANGE/CANCEL POLICY
Change and cancellation requests must be submitted to Lux Inclusive Travel in writing and your request may take up to 48 to process. Please understand that changing or cancelling a reservation is often more work than booking it and any pay Lux Inclusive Travel and your Travel Advisor earned will almost always be recalled by the Travel Supplier leaving no compensation for work already done. Lux Inclusive Travel may assess a service fee for the greater of $25 per person or 5% of the total cost up to a maximum of $300 per person, in addition to any and all fees that the Travel Supplier may impose for changes, modifications, or cancellations to a reservation.
FORCE MAJURE
This is a fancy French term meaning “it’s not our fault.” OK, the actual definition is “unavoidable and extraordinary or uncontrollable circumstances that prevent someone from fulfilling a contract.” This is sometimes called an act of God. The literal translation of the term is “greater force”. If Force Majeure is the reason a contract or promise is not fulfilled, the Travel Suppliers, Lux Inclusive Travel, or your Travel Advisor will not be liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment, of any nature or kind whatsoever, resulting from events beyond their reasonable control, including but not limited to: acts of God, strikes, lockouts or other labor disputes or disruptions, wars, blockades, insurrections, riots, earthquakes, weather conditions, floods or acts or restraints imposed by government authorities. A recent example was COVID-19.
TRAVEL DOCUMENTS
It is your responsibility to ensure that all of the details on your travel documents are correct and to bring to our attention, and the attention of your travel supplier, any errors or discrepancies immediately. Your travel documents are valuable and should be carefully safeguarded. While traveling, it is not always possible to replace travel documents in the case of loss, theft or damage. Lux Inclusive Travel recommends having a paper and a digital copy whenever possible. If you would like a digital copy of a document uploaded to your itinerary on our Trip Plans App, inform your Travel Advisor and email the digital file.
PASSPORTS
You will need a valid passport book for travel to/from any country (Canada and Mexico accept a passport card for land crossings only). Be sure your passport book is valid for at least 6 months AFTER you will be returning home from your trip. Even if the country you are visiting does not require a full 6 months, most airlines do.
Even if a passport is not required, it would be irresponsible to travel to another country without one. You may not "need" it for certain cruises, but if anything out of the ordinary happens, you will not be allowed to board a flight to the U.S. without a valid passport.
The U.S. State Department recommends that all travelers' passports have at least two blank pages left, or travel may be refused to certain countries.
COUNTRY ENTRY/EXIT REQUIREMENTS
There have been unprecedented and unexpected border restrictions imposed by many countries. Before commencing any travel, we advise travelers to check the relevant Government websites for their destination and/or transit countries for requirements and restrictions.
Any entry/exit requirements and immigration information provided by your agent are helpful tips provided as a convenience only and should not be considered a full, accurate, or up-to-date list of requirements. There are also many reasons why someone may be denied entry into another country, even if all requirements are met. You are fully responsible for having the correct documentation including IDs and visas, and for meeting the requirements to enter/exit each country on your itinerary, including those you are transiting (connecting flight/layover). As a convenience, at Lux Inclusive Travel we do our best to provide our clients carrying U.S. passports with the latest destination information when planning their trip. However, travel requirements and restrictions can change at any time and you should not rely fully on the information provided on your itinerary.
A simple and free online tool to quickly check travel requirements is with Sherpa°. You do not need to sign up to use their interactive map for entry/exit and visa requirements.
On the US State Department's website, you will find information on entry and exit requirements, links to the official websites of your destinations, and warnings for situations that may affect your safety and well-being abroad, as well as other important travel issues such as: security, local laws, culture and health. You can also do a free search with CIBT Visas to see if visas are required for your destination.
Check with the US State Department - Bureau of Consular Affairs and underneath where it says, "Where Are You Traveling" start typing the name of the country you are visiting and select from the drop-down list that appears.
All information provided by Lux Inclusive Travel and your Travel Advisor will be for U.S. citizens only. If you hold a passport from another country, you should contact the destination’s Embassy or Consulate representing the country from which your passport was issued.
TOURIST VISAS
As a reminder, Lux Inclusive Travel does not provide visa services. It is your responsibility to secure a visa and/or consult a visa service sufficiently in advance of your trip to secure the necessary documentation prior to your travel dates.
One reliable visa services is CIBT Visas where, at no cost, you can quickly check your destination countries and see if a visa is required. From there, you can hire their services to apply for a visa and obtain services to help you through the process. Alternatively, you can obtain a visa on your own. If obtaining a visa on your own, it's a good idea to start at the US Departments of State's country information page.
Supplemental Charges Acknowledgement
Carrier reserves the right to impose a supplemental charge relating to unanticipated occurrences including, but not limited to, increases in the price of fuel, itinerary changes, or changes in accommodations. Any such supplement charges may apply, at Carrier’s sole discretion, to both existing and new bookings (regardless of whether such bookings have been paid in full).
By making any payment, you are acknowledging that the trip you are purchasing may be subject to supplemental price increases that may be imposed after the date of purchase. You acknowledge that post-purchase price increases may be applied due to additional costs imposed by a supplier or government relating to unanticipated occurrences including, but not limited to, increases in the price of fuel, itinerary changes, and changes in accommodations. You are further acknowledging that you may be charged additional sums by Lux Inclusive Travel to offset increased fees, fuel surcharges, taxes, fluctuations in foreign exchange markets, or any combination thereof. By purchasing this trip, you hereby consent to any post-purchase price increases and authorize Lux Inclusive Travel to charge me for such additional amounts.
Please note that many cities have a local tax which is to be paid to the hotels upon check-in/out. These taxes/fees must be paid directly to the hotel are NOT included in your quote/booking, unless specifically stated on your invoice.
By offering travel products to any particular destination, we do not represent that travel in such destinations is advisable, safe, or without risk, and we are not responsible for any damages or losses that may result, directly or indirectly, from travel booked to such destinations.

It is strongly advised that prior to booking international travel, you review any U.S. Government prohibitions, warnings, and advisories applicable to your destinations. Information on conditions in various countries and the level of risk associated with travel to these countries can be found at:

Vaccinations may be required for some or all of the places you are intending to visit. It is your responsibility to ensure that you have arranged all necessary vaccinations for your itinerary. You should speak to your personal doctor if they recommend anything that may not be required.
To make it easier for you to get the travel documents needed for your trip, we recommend using a visa service. CIBT Visa Service, and its subsidiary VisaCentral, are the largest and most well-established travel visa company in the world. They also have a free online tool to check visa requirements and obtain a travel visa. Be warned that service fees for all visa service companies are steep on top of consular fees. If you are very comfortable doing it on your own, you typically only pay consular fees.

Please note that some countries have an online visa application process that doesn’t require personal visits to an embassy or consular. Be sure to check if your destination has an online application process and give it a try before dishing out several hundred dollars. Online applications are generally simple and quick. Visa services usually leave these details out and charge you high fees either way. To find out if there is an online application,
Some counties even have Electronic Travel Authorizations or visa waivers instead of a visa. Once again, try to do the application online before you pay a service. These applications are easy and inexpensive.
When you check the entry/exit requirements by visiting the State Dept.online, it will usually specify which is needed for your destination and provide you with an official link.
Lux Inclusive Travel strongly recommends that children carry a consent letter if they are travelling abroad alone, with only one parent/guardian, with friends or relatives or with a group. For the purposes of this consent letter.
A consent letter may be required, or it may simplify travel, as it may be requested by immigration authorities when entering or leaving a foreign country or by officials when re-entering the USA/Canada. The letter demonstrates that children have permission to travel abroad from parents or guardians who are not accompanying them.
If you have a criminal conviction on your record – even a DUI – we recommend you contact Border Control for the country you are visiting to be certain the conviction won’t prevent you from entering that country. It does not matter the severity of the crime or how long ago the conviction was. Better to have wasted your time checking than to be denied entry into a country after you have booked and paid for a trip.
If you have a warrant out for your arrest, expect to be arrested at some point in your travels. Airlines and cruise lines are required to keep an accurate manifest of passengers and they must be provided to customs. If you get selected for any enhanced screenings, your name will also be run through international databases. Many people who have warrants may not be aware of it when they are for crimes such as unpaid child-support or speeding tickets. If you have any reason to question whether or not you have a warrant, start making calls and find out before you travel.
Starting on or about May 7, 2025, if you do not have a star in the top corner of your license, it will not be accepted as identification to board a plane, even for a domestic flight. These are the Enhanced Driver's Licenses or "Real ID". Without a passport or Real ID, some other acceptable forms of ID for domestic flights are listed on the TSA website. If you need to upgrade your state license or ID, your state's Registry of Motor Vehicles' website will have information for your state.
Please be advised that you are considering, or intending to proceed with, international travel at a time when COVID-19 is a known global risk. Any person choosing to travel with that in mind, does assume and accept responsibility accordingly for the risks, potential loss, and limitations that may apply.

Please note that tours, transportation, restaurants, bars, pools, fitness centers, spa services and other amenities or services may be limited or temporarily not available. Any country, state, city, and location you are travelling to, from, or via, and the airlines, cruise lines, railways, tour operators, and ground transportation providers you are travelling on, as well as any property you may expect to enter may all have individual requirements to limit the spread of COVID-19, or may be impacted by the residual effect of COVID in the operation of travel services.

It is your responsibility to keep yourself and members of your traveling party (travel companions) informed of, and in compliance of, all requirements in relation to your trip and any COVID based restrictions.
Any additional expenses or fees incurred, or any loss (including missed or non-refundable trip components), resulting from airline or government requirements & restrictions, will be the sole responsibility of the traveler.
Lux Inclusive Travel is not liable for any loss due to failure to read and understand this information, as the considerations included in this document may be critical to your upcoming trip. All considerations in this document apply to all persons in your travel party.
Lux Inclusive Travel (“Agency” or “we” or “us” or “our”) and Travel Advisor (“Agent”) is acting as a mere agent for the Client (“Traveler” or Travelers”) in all matters pertaining to travel, in arranging for the booking of, and management of reservations/bookings for products from a (“ Travel Supplier”) who is the vendor or business providing the travel service that may include, but are not limited to airlines, hotels, rental car companies, insurance companies, mobility equipment suppliers, tour operators, cruise lines, rail operators, wholesalers, etc. and services that are not directly supplied by Lux Inclusive Travel. Lux Inclusive Travel acts as an independent agent only and has no control or influence over the performance and/or operations of the Travel Supplier. Lux Inclusive Travel or Agent, therefore, shall not be responsible for the quality or delivery of those products and services, breach of contract, failure to comply with any laws such as the Americans with Disabilities Act (ADA), or any intentional or negligent actions or omissions on the part of such travel provider, which result in any loss, damage, delay, inconvenience, or injury to Travelers or Travelers' companions or group members. Unless the term "guaranteed" is specifically stated in writing on your tickets, invoice, or reservation itinerary, Lux inclusive Travel or Agent makes no representation or warranty as to any Travel Supplier’s service levels, safety levels, intended performance, or vendor’s rates.
The passage or carriage contract in use by the airlines, rail operators, cruise lines, and tour operators concerned, when issued, shall constitute the sole contract between the aforementioned service providers and the purchaser of these products or services and/or the Traveler. The right is reserved to withdraw any or all products and services should conditions warrant, also for any service provider to decline to accept or retain any Travelers. Lux Inclusive Travel or Agent can assume no responsibility for lost tickets or coupons. In the event that it becomes necessary for any reason whatsoever, to alter the itinerary or arrangements, such alterations may be made without penalty to Lux Inclusive Travel or Agent or Travel Supplier. Additional expenses, if any, shall be borne by the Travelers, conversely refunds will be made to the Travelers if any saving is effected thereby.
Lux inclusive Travel or Agent shall not be responsible for any injuries, damages, or losses caused to any Traveler in connection with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climatic conditions, abnormal conditions or developments, or any other actions, omissions, or conditions outside the control of Lux Inclusive Travel. Traveler assumes complete and full responsibility for, and hereby releases Lux inclusive Travel or Agent from any duty of checking and verifying any and all Traveler and Traveler’s companions’ passports, visas, vaccinations, or other entry requirements of each destination, and all safety and security conditions of such destinations, during the length of the proposed travel. We specifically recommend that U.S. Citizens traveling to any foreign country do so with a valid U.S. Passport even if not required, as with certain cruise itineraries. By embarking upon their travel, the Traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. The Traveler admits and acknowledges that travel occasionally presents risks and circumstances that may be beyond the ability of Lux Inclusive Travel or Agent or Travel Supplier to reasonably control or mitigate. Traveler is hereby warned of the above risks as well as possible travel industry bankruptcies, epidemics, political unrest, terrorist attacks, medical and climatic disruptions, and the possibility Traveler may be unable to travel as scheduled because of personal emergency. The Traveler understands that all products and services provided by Agency or Agent are the services and products offered by third parties independent of Lux Inclusive Travel, and the Agency and Agent are bound by the terms and conditions of those third parties. Further, the Traveler understands and agrees that most Travel Suppliers have strict change and cancellation policies. Often the purchase is non-refundable and a change or cancellation may result in a complete forfeiture of the cost of the service or product and/or a penalty resulting from change or cancellation. Accordingly, the customer understands and agrees that they will be bound by the terms, conditions, and restrictions of the aforementioned Travel Providers and they will hold Lux inclusive Travel and Agent harmless from any liability associated with cancellation or refund policy of the Travel Suppliers. Traveler is advised to obtain appropriate travel insurance coverage against these risks; information is available through Lux Inclusive Travel regarding travel insurance.
